
Strengthening the culture of responsibility in data and document management is the goal of the Industrial University of Santander, through its Information and Communication Technologies Division, the Certification and Document Management Department, and UIAES. To this end, an informative event was held in the Luis A. Calvo Auditorium on the responsible management of institutional information and the dissemination of the UISARD Information System, fundamental tools for optimizing and supporting the administrative processes that guarantee the excellence of our university.
Hundreds of staff members attended the meeting and expressed the importance of taking responsibility for the handling of information and data in each of the areas. “These are very important and necessary training sessions, because they keep all university staff informed. I believe they should be held every three to four months or so. This is essential, especially in my position as the institution’s email administrator, where I realize how information must be used with great care and responsibility,” said Moisés González, DTIC academic support technician.
The initiative seeks to raise awareness among the university community about the importance of recognizing information as a strategic asset and protecting it from risks that could affect both the security and reputation of the institution.
“We know the information, we can be alert, we can be aware of how we should handle the data and files that pass through our functions,” explained Edgar Antonio Mesa Rincón, head of DTIC UIS, who highlighted the need to identify risks associated with the management of information assets.
According to Mesa, the training will help prevent fraud and breaches that sometimes arise from ignorance. “If we know and are alert to these potential risks, we can prevent fraud, we can prevent deception… In recent days, there have been cases in which people, out of ignorance, have accessed fraudulent emails asking them for sensitive information,” he said.
Sergio Andrés Utrera Santander, Director of Certification and Document Management, pointed out that the training program responds to the current challenges facing society in relation to data and information. “We face major challenges at the university: creating a culture of responsibility regarding data and information, which is essential today,” he said.
Utrera also highlighted the importance of incorporating good technical and administrative practices. “This involves very specific aspects such as data anonymization, the use of confidentiality agreements, and the publication of information that is duly classified or considered public, depending on the instruments that establish the criteria for access,” he said.
The proposal includes five training sessions on topics such as: general information on responsible management of institutional information; institutional records and documents, reports based on institutional data, information security risk management, and data governance.
With this strategy, the UIS seeks to protect data and efficiently manage information as fundamental pillars of its academic and administrative work.
